What goes on the invoice

Fill in who it is from, who it is for, and what you are charging. Add as many line items as the job needs, each with a description, quantity, and rate. Set a tax rate for GST, VAT, or sales tax, and a discount if you are applying one. Pick a currency from US dollar, Indian rupee, euro, or pound sterling. The output is a clean A4 document with a header, an itemised table, a totals block, and your notes and payment terms at the foot.

Why print-to-PDF beats an upload

Most free invoice generators post your client's name, address, and billing amounts to a server, render a PDF there, and then charge you to take their watermark off it. This one builds the document locally and hands it to your browser's own print engine. Two things follow. The text stays vector, so it is sharp at any zoom, selectable, and searchable — not a flattened image. And the details never leave your device, which matters when the line items themselves are confidential.

Numbering, dates, and terms that get you paid

Use a sequential unique number such as INV-001, INV-002. Bookkeeping rules in most jurisdictions require it and every accounts-payable team expects it; a duplicate or missing number is a common reason an invoice gets queried rather than paid. Put a clear due date rather than "on receipt", because a date creates a deadline and a phrase does not. And put the actualpayment details in the notes — bank account, UPI ID, or PayPal address — so nobody has to email you to ask. An invoice that answers every question a payments clerk has tends to clear faster than one that starts a conversation.

The order matters and is easy to get wrong by hand. Tax is charged on what the client actually pays, so the discount is applied before tax, not after. Taxing the full subtotal and then discounting the result produces a different, incorrect figure.

Practical notes before you send

  1. Check the tax treatment for your situation. Whether you charge tax at all depends on registration thresholds and where your client is.
  2. Name the currency explicitly in the notes for cross-border work, since a bare dollar sign is ambiguous.
  3. Keep your own copy. Nothing is stored here, so save the PDF before closing the tab.
  4. Match the reference the client needs. Many companies require a purchase order number or the invoice will not be processed.
  5. Send it to accounts, not your contact. The person who commissioned the work is rarely the person who pays it.

  • Is it genuinely free, with no watermark?

  • What does a valid invoice have to include?
    At minimum: the word Invoice, a unique number, the issue date, your business name and contact details, the client’s details, a description of what you are charging for with quantities and rates, the total due, any tax shown separately, and payment terms.
  • Can I use it for GST or VAT invoices?
    You can set any tax rate and it appears as its own line, which covers the arithmetic. Jurisdictions add their own requirements, such as GSTIN and HSN codes in India or VAT registration numbers in the EU. Put those in the address or notes fields and confirm what applies to you.
  • How does the discount interact with tax?
    The discount comes off the subtotal first, then tax is calculated on the reduced amount, which is the order accountants expect for a trade discount. A 10,000 subtotal with 10% discount and 18% tax gives 9,000 plus 1,620, for a total of 10,620.
  • Which currencies are available?
    Four: US dollar, Indian rupee, euro, and pound sterling. The chosen symbol is applied throughout the document. For a currency not listed, pick the closest and note the actual currency in the notes field so there is no ambiguity for the client.
  • Are my client details stored or uploaded?
    No. Names, addresses, and amounts stay in your browser’s memory and vanish when you close the tab. Nothing is transmitted, saved, or logged, which is what makes the tool usable for confidential client work without a second thought.
  • Nothing happened when I clicked print. Why?
    Your browser most likely blocked the pop-up window the invoice opens in, so allow pop-ups for this site and try again. Some in-app browsers inside social and messaging apps also restrict printing; opening the page in Chrome or Safari resolves it.
